Overdue payment and group alerts
Overdue payments screen, waiting-list lock for debtors (blocks nobody), private notices, welcome for new members, reminder for who disappeared, offensive chat.
This page gathers what Torneyo does on its own to keep the class paid up and the group alive. Everything starts off; you turn on only what you want, and nothing involving money or personal data goes to the group.
Overdue payments
The screen
Overdue payments, on the class card, lists who owes: pending or overdue cost splits, monthly fees and fines, by person. It’s the same data behind the /devo and /pix the athlete uses in the group (see Cash box and cost splits).
Automatic collection
Cost splits collect on the due date, on D+1 and on D+3, with copy-and-paste Pix, always in private. Monthly fees follow the academy’s settings. The cost split’s Remind the group who’s missing button posts only the first name of whoever hasn’t paid.
Overdue-payment lock on the line
In the spots panel of the Sessions screen, the overdue-payment lock (off by default) makes anyone with an overdue monthly fee, cost split or fine lose priority on the waiting list, without blocking anyone:
- you set the grace period in days after the due date and the minimum amount to count;
- whoever is paid up goes first; if a spot is left over, the debtor plays;
- in the group, the message for someone sent to the waiting list over a debt is identical to the one for a full game; the real reason only reaches the person’s private notice;
- only the manager sees the “outstanding” mark next to the name.
Group alerts
The Alerts screen, on the class card. Group messages need the group connected; private reminders work without it.
Welcome for new group members
A single message in the group when someone joins, with the link to confirm attendance for the next session. At most one every 10 minutes: people who join together are greeted at once. Optional text with the {turma} and {link} variables; it never mentions names or phone numbers.
Reminder for whoever disappeared
Once a week, it sends a friendly invitation to whoever used to come to the games and hasn’t shown up for a while, based on recorded attendance. You set the number of days (7 to 120) and the channel:
- In the group: one general message to everyone, without naming who disappeared.
- Privately: app and push notification, only to those who have already linked their account.
- Both.
Each person gets at most one reminder every 30 days.
Flagging offensive chat
With group message reading on, the daily report starts showing, to the manager only, how many messages look offensive and of what kind. Nothing is deleted or sent to the group; the text and the author aren’t shown. There is no real-time moderation.
History
The screen shows the alerts sent. Private reminders also appear in the communication center; group messages are only here.
Daily report and group metrics
- Daily report: at 9pm on game day, managers receive confirmations, attendance, MVP and, with reading on and at least 5 messages, an AI summary of the conversation (what got engagement, complaints, open items). Also through the button on each session.
- Group metrics: activity, inactive members, peak times and at-risk members, calculated from aggregate numbers, with no text or phone numbers. A weekly digest with action items can be sent to managers, with preferences per class.
Alerts to the manager
Regardless of the settings above, the manager gets a notification (in-app and push) when:
- the group disconnects (two consecutive failed checks);
- there are new pending registrations (once a day, at 9am);
- new people joined the group without a registration (once a day, after the first sync);
- an athlete is moved up from the waiting list (notice to the athlete themselves);
- the class was reset.
FAQ
Does the lock block whoever owes? No. It only changes the order of the line. With nobody paid up waiting, the debtor plays.
Does the group see who owes? Never the amount. On a cost split, only the first name, and only if you send the notice.
Does the reminder for whoever disappeared use confirmation or attendance? Attendance. Anyone with no attendance recorded in N days counts as “disappeared”.
