Academy monthly fees
Set the amount, due day, late fee, interest and discount — and choose whether billing is manual or by card and instant payment.
Recurring billing belongs to the academy module, not to tournaments. The configuration is per academy: if you run two branches, each has its own amounts and rules.
Setting up billing
Under Monthly fees, set for the academy:
- Amount of the monthly fee
- Due day — the same day every month
- Late fee — applied once after the due date
- Interest — accrued while overdue
- Discount — for paying on time, when you want to encourage it
Late fee, interest and discount are optional. Leave blank whatever you don’t use.
How the money reaches you
Three options, and the choice changes your day-to-day quite a bit:
Manual — you get paid outside the platform (bank transfer, cash) and reconcile it here. No fees, but the checking is on you. Plenty for a small academy.
Card and instant payment through your own account — you connect your own receiving account and the money lands there directly. The platform issues the charge and reconciles it automatically when payment arrives.
Card and instant payment through Torneyo’s account — no need to open a gateway account yourself. In this model a percentage fee applies to the amount received.
If you use instant payment, this is where the academy’s payment key is registered.
Tip Start with manual. Moving to automatic billing later doesn’t lose history, and you avoid configuring a gateway before you have enough students to justify it.
Scholarships and discounts
A student on a scholarship doesn’t need separate setup: record the discount on the student and their monthly fee is generated with the reduction already applied.
Works for a full scholarship (100%) as well as for sibling discounts, staff children or school partnerships.
Tracking who paid
The monthly fees dashboard shows each student’s status for the month: up to date, pending or overdue, and by how many days.
This is what replaces the spreadsheet — and it’s why setting the right due day from the start matters: without it, the platform can’t calculate lateness.
Frequently asked
Is the fee generated automatically every month? Yes, according to the configured recurrence.
Can I change the amount mid-year? Yes. Fees already generated keep the old amount; the next ones use the new.
Does a student on leave keep getting charged? No, as long as you mark them inactive in the academy before the next generation.
