Space booking
Make courts and pitches bookable online: opening hours, price, approval, payment, booking slip with QR code and check at the gate.
Space booking turns the organization’s venues into time slots anyone can book — on the website, in the app or at the front desk, with the manager entering it. The calendar is the same one used by matches and classes, so nobody books the court during academy time.
Venue and space
- Venue is the address: the sports hall, the complex, the club. See Venues and courts.
- Space is what gets booked inside it: “Court 1”, “Five-a-side pitch”, “Dance studio”.
A venue can have several spaces, each with its own price, hours and rules.
Creating a space
Under Venues, open the venue and use Spaces → + New space. Fill in:

The booking price is price per period × number of periods.
Warning Set the opening hours. Torneyo builds the available slots from them — a space with no windows shows no time to book.
Deactivating a space stops new bookings; existing ones remain valid.
Billing and approval rules
Under Organization → Space bookings are the rules that apply to every space:

Billing method:
- Free — no online charge.
- Charge through the organization’s Stripe account — the money goes straight to the organization’s account, with automatic payout. It requires the account to be connected and onboarding completed under Billing → Enable payments; the screen shows the account status and only enables the option once it’s ready.
Changing the billing method is up to the owner or an administrator. For online charges, the fee is the same as for other online payments: 5% + card processing cost (3.99% + R$0.39), deducted from the amount received.

Approve bookings automatically — on, a free booking is confirmed straight away; off, it arrives as Requested and waits for the manager to approve it.

Minimum notice to cancel (hours) — how late the person who booked can still cancel on their own (default 24 h).

Payment deadline (minutes) — how long the slot is held while waiting for payment (default 30 min).
A paid booking goes straight to payment, even with manual approval turned on.
How people book
On the website, without an account — every self-service space gets a public page under /en/espacos/, with photo, price, sports, map, opening hours and a Get directions button. Under Book this space, the person picks a day and a free slot, enters name, email and WhatsApp (optional) and confirms with a 6-digit code sent by email. If the space is paid, they go on to payment.
In Torneyo (web or app) — under Book a space, the person filters by city, opens the space, picks the day and clicks a free slot. They follow everything under My bookings: pay, cancel and download the slip.
By the manager — on the venue’s Booking grid (the Bookings button in the venue list), the manager picks the space (or the whole venue) and the day, and uses New booking to book for someone (search by name or email) or for themselves. Only the manager can tick Recurring booking (every week), for the team that always plays at the same time. A booking made by the manager is confirmed straight away and doesn’t generate an online charge.
Torneyo immediately refuses anything that breaks the rules: a slot in the past, outside opening hours, outside the notice window, above the per-user limit or clashing with a match, class or another booking.
Booking statuses

Requested, Awaiting payment and Confirmed hold the slot. The others free it.
Managing bookings
The organization’s Bookings list shows them all, with a status filter, and the actions:
- Approve — for requested bookings.
- Cancel — with an optional reason, which goes in the email to the person who booked. It’s also how you turn down a request.
- Complete — marks the booking as done.
- Slip — downloads the booking PDF.
The person who booked can cancel up to the configured notice. A paid, confirmed booking that is cancelled is refunded automatically in full — the money goes back to the card within a few business days.
Confirmed bookings appear in the organization calendar, alongside matches and classes.
Notices to the person who booked
The person who booked gets an email (and an app notification, if they have an account) when the booking is awaiting payment, when it is confirmed and when it is cancelled or expires. Confirmed one-off bookings also get a reminder 2 hours before.
Booking slip with QR code and the gate
Every confirmed booking has a PDF slip with venue, space, date, time, price and a QR code. At the gate, staff open Validate booking (QR) in the Torneyo app and point the camera at the slip: the app shows venue, space, date and time and whether the booking is confirmed.
Validation is read-only: it doesn’t record entry or change the booking status.
Who can do what
Managing spaces, bookings and billing settings is for organization members. In the app, the My spaces menu shows up for owners, administrators and managers, and Validate booking (QR) for operators too.
Current limitations
- Pricing is per fixed period; there’s no different price by weekday or time.
- There’s no dedicated slot block: to block a slot, the manager books it for themselves (or for the whole venue).
- Online payment is card only (via Stripe), always to the organization’s account; there’s no instant-payment option and no manual payment record on the booking. If the organization’s account has pending setup, paid bookings are unavailable until it’s sorted out under Billing.
- Refunds are always in full — there’s no cancellation fee.
- A recurring booking charges a single period and gets no reminder. With Repeat until, the slot becomes free again from the day after the end date.
- The manager isn’t notified of new bookings; keep an eye on the bookings list.
- When you create or reschedule a match at a venue with an active booking at the same time, Torneyo warns about the clash and asks for confirmation. Class times aren’t checked against bookings yet, because a class has no venue on file — check the grid before scheduling the session.
