Sessions, attendance confirmation and reminders

Automatic sessions, group invitation, /vou or link confirmation, spots, waiting list, goalkeeper, monthly-member priority, 24 h and 2 h reminders, closed lists.

A session is a game or practice with a date and time. It’s where people answer “in” or “out”, through the group or the link, and it’s where the team draw, attendance, the MVP and the daily report come from.

Automatic sessions

With the days of the week and times set on the class, Torneyo keeps the sessions for the next 2 weeks open, created on their own. It honors cancelled or rescheduled games and the days off you mark (public holiday, court closed). If the schedule changes, only generated sessions that haven’t received any answer yet are removed.

You can also create a session by hand under Sessions (with its own venue, spots and deadline) or from the group with /novo sexta 20h.

Confirmation

Each session has a public link (Copy link and WhatsApp buttons): whoever opens it taps their own name and answers in or out, no account needed. With the group connected, the same thing happens through the /vou and /naovou commands, and the invitation is posted on its own with the configured lead time.

The screen shows, in real time, who’s in, who’s out, who hasn’t answered yet, the waiting list and the time of each confirmation. The History button opens the full record of each session: confirmed, dropped out, joined the waiting list, moved up, removed by the manager, with the source (bot, link, manager or system) and the time. The history is kept for 12 months and can’t be edited.

Tip Confirmation and attendance are different things. Confirmation says who said they’d come; attendance records who came. Cross-checking the two is what produces the “Word of honor” ranking and no-show sanctions.

Spots, waiting list and goalkeeper

In the Spots, waiting list and automatic generation panel on the Sessions screen (all optional; left blank, the class carries on with no limit):

  • Spots: the player limit. It can be “N outfield spots + extra goalkeepers” or “total spots, goalkeepers included” (20 with 2 goalkeepers = 18 outfield + 2 goalkeeper). A specific session’s limit overrides the class’s.
  • Goalkeeper spots: a separate line. /vou goleiro asks for a goalkeeper spot; anyone registered with the “Goalkeeper” position takes a goalkeeper spot on their first confirmation and can agree to play outfield if the goalkeeper spots run out.
  • Waiting list: with the game full, whoever confirms joins the line with their position. When someone drops out, the first in line moves up on their own, gets a private notice and the group sees “Marcos S. dropped out at 13:12 → Paulo R. moved up from the waiting list”. Whoever is already confirmed is never bumped by someone who arrives later.
  • Line order: no outstanding payments > monthly member > drop-in player > guest > order of the “in” replies. The priority window reserves the spots for monthly members until X hours before the game.
  • Guest: someone without a registration, by name only. The manager can always add one (from the dashboard or with /convidado Name); an athlete can bring one through the link up to the limit you set (default: none). A guest plays and goes into the draw, but stays out of rankings and billing.
  • Overdue-payment lock (off by default): see Overdue payment and group alerts.

Each participant’s monthly member or drop-in player status is set on the class’s student list.

Reminders

For each session, without you doing anything:

Rescheduling or cancelling from the dashboard notifies the group and everyone who had already confirmed. A session with confirmations closed doesn’t get the “please confirm” reminder. The screen shows how many reminders were sent.

Private reminders arrive through the app and push notifications to anyone who has already linked their account; the group gets the collective message.

Closing and reopening the list

At game time, the organizer sends /fechar (or uses the dashboard): nobody else gets in or out through the group or the link, and the waiting list stops promoting. /abrir reopens and re-evaluates the line. If the original confirmation deadline has already passed, reopening doesn’t extend it; adjust the deadline on the dashboard.

MVP

From kickoff until 48 hours later, those who played vote for the MVP on the session page: secret vote, changeable within the window, nobody votes for themselves. Once voting closes, the page shows the winner and the result feeds the MVP ranking.

FAQ

Who confirmed and didn’t come? Record the day’s attendance. The cross-check shows up in the “Word of honor” ranking and, if the class has a discipline rule, becomes a sanction suggestion.

Can I remove someone from the list? Yes, from the dashboard. The removal is logged in the history as “removed by the manager” and the next person on the waiting list moves up.

The automatic session was created with the wrong venue. The venue follows this order: session > class > academy address. Edit the session or the class address.
