Class cash box and cost splits
Class cash box with income and expenses, cost split with copy-and-paste Pix and automatic collection on D0, D+1 and D+3, /devo and /pix in private, overdue.
The class’s money goes through three places: the cash box (the balance), the cost split (an expense divided among those who took part) and the monthly fee (the recurring charge, described in Academy monthly fees). This page covers the cash box and the cost split.
Class cash box
Under Cash box, on the class card, you record manual income and expenses (“court rental”, “new ball”) and see the balance. These come in on their own, with no manual entry:
- monthly fees paid;
- cost-split shares paid;
- no-show fines paid (see Rulebook and discipline).
A manual entry can be deleted. Automatic ones follow the payment they came from.
Cost split
For a one-off expense, create a cost split under Cost split on the class card:
- Description, total amount and due date.
- Participants: Torneyo suggests whoever was at that day’s attendance (or everyone active, if no attendance was taken). For an extra event, the Split this event button on the event card already brings in whoever confirmed for it.
- The split is in equal parts; leftover cents go to the first people on the list.
Payment is by Pix, outside the platform: the split shows the key (its own or the one from the academy’s monthly fee settings) and you mark who paid, tracking “N of M paid”. Marking someone as paid records the income in the cash box.
Automatic collection
Each participant in the split receives, through the app and push notifications:

Group notice
With the group connected, the Remind the group who’s missing button posts a message with only the first name of whoever hasn’t paid yet, no individual amounts. You can write an introduction (“Folks, the barbecue still needs paying”) and include the Pix key.
/devo and /pix
In the group, an athlete can send:
/devo: receives privately the list of what they owe in the class (cost splits, monthly fees and fines), with due date, days overdue and total./pix: receives privately the copy-and-paste Pix for the open items (the 3 oldest), with the class’s key.
The group only sees “I sent it to you privately”. With no Pix key set up, the bot tells them to arrange it with the organizer. Limits: 4 private sends per phone number per hour.
Class overdue payments
Under Overdue payments, on the class card, the list of who owes: pending or overdue cost splits and monthly fees, by person. It’s the same data that feeds /devo, the waiting list’s overdue-payment lock and the alerts.
Monthly members and drop-in players
On the student list, each participant has a playing status: monthly member or drop-in player. The recurring monthly fee only goes to monthly members; a drop-in player settles per game with the organizer. The status also sets priority in the session line.
Resetting the cash box
Under Reset class data, the “Cash box, cost splits and charges” scope comes unticked and can only be reset by the organization’s owner, administrator or finance role. Recorded money is never wiped by accident.
FAQ
Does Torneyo receive the Pix? No. The Pix goes straight to the organizer’s key; Torneyo records the charge, reminds whoever owes and marks it paid when you do.
Can I charge a guest? A guest (confirmation by name only) stays out of cost splits and rankings. To charge them, register the person.
Does the athlete see the cost split? Yes, in the athlete area and in the class details, with the Pix to pay.
