Connect the WhatsApp group with a code

Add Torneyo number to the class group, generate the link code and send /vincular in the group. Covers the First steps assistant, connection states and pausing.

Torneyo joins the class’s WhatsApp group as one more member. With the group connected, it posts each session’s invitation, answers commands, reminds whoever hasn’t answered and registers the people in the group. The class does not depend on the group to work: without it, everything carries on through the attendance link.

The First steps assistant

Right after creating the class (or through the Set up in 4 steps button on the class card), the assistant guides the setup. No stage is mandatory; all of them have “not now” or “skip”, and your progress is saved so you can pick it up later.

3. PeopleReads the group list, shows only who’s new (editable name, masked phone number) and registers them in bulk. Without a group, offers the invite link and manual registration.
4. DoneSummary (group, people, automatic sessions and invitation lead time), the command cheat sheet to paste in the group, and shortcuts to Sessions, Attendance and the class.

The same assistant exists in the app (in final testing before the stores), with the same stages.

Connecting with the code

  1. Add Torneyo’s number to the group. The number appears on the assistant screen (and under Sessions, in the group block).
  2. Generate the link code. Torneyo shows a code in the format PELADA-7K4Q2M a single time. It’s valid for 30 minutes, works once, and generating another one invalidates the previous one.
  3. Send in the group: /vincular PELADA-7K4Q2M.

The bot replies in the group (“Group linked to team X! Invitations and commands now work here. Send /help to see the commands.”) and the screen moves on by itself. Whoever sends the command doesn’t need to be registered: having the code is the proof the group is yours.

Note A group can only be linked to one class at a time. If the code is sent in a group that already belongs to another class, the bot replies “Invalid or expired code” and nothing changes. If the class already had another group, the new one replaces the old one: the previous group gets an unlink notice and its messages and metrics are deleted.

A wrong code five times blocks that sender for 15 minutes. An invalid, expired or already-used code always gets the same generic reply.

Picking the group by name from a list is a function reserved for the platform administrator; the manager uses the code.

The introduction message

As soon as the group is linked, Torneyo posts an introduction message a single time: who it is, what it does in the group and that, to turn it off, just talk to the organizer. This message is a prerequisite for (optional) message reading and is reposted if you switch groups.

Connection status

On the Sessions screen, the group badge shows:

StatusMeaning
ConnectedTorneyo’s number is in the group and the session is active.
DisconnectedThe number left the group or the session dropped. The class managers receive one notification (in-app and push) when this happens on two consecutive checks, every 10 minutes.
UnavailableThe integration is turned off in this environment or the service is down. The screen explains it and the class carries on through the link.

Useful buttons in the same block: Test message (waits 30 s between tests), Announce presence (reposts the introduction) and Pause posts, which silences everything Torneyo does in that group, commands included, until you resume.

Group settings

  • Hours in advance: how many hours before the session the invitation is posted.
  • Read group messages (opt-in, off by default): stores first name and text for 30 days, with personal data masked, for the daily report and engagement metrics. It can only be turned on if the introduction message has already been posted.
  • Scheduled messages: one-off or weekly messages in the group, with the variables {{data}}, {{horario}}, {{local}}, {{link_presenca}} and {{turma}}. A scheduled message can’t start with / or !.

Unlinking or switching groups

To switch, generate a new code and send /vincular in the new group. To unlink for good, use the corresponding option under Sessions or the Unlink the group scope under Reset class data. In both cases, whatever derives from the old group (messages, metrics, monitored members) is deleted.

FAQ

Do I need a number of my own? No. The number belongs to Torneyo. You just add it to the group.

Does the manager need to be in the group? To send /vincular, yes (or ask someone in the group to send the code). For the management commands, the bot recognizes the organization manager by the user’s phone number or the WhatsApp group admin.

Does the bot read the conversations? Only if you turn on “Read group messages”. Commands are never stored as text.
