Register teams and squads

Teams, athletes, referees and documents: how to build a squad and what changes when the team belongs to another organization.

Teams and athletes live in the organization, not in the tournament. Register once and reuse them across every competition you run.

Create a team

Under Teams, click New team and enter name, city and crest. The crest is optional — without one, Torneyo generates an initials avatar that shows up in the fixtures, the match sheet and share cards.

The team is created under whichever organization is active in the selector at the top of the screen. Worth checking before saving if you administer more than one.

Build the squad

With the team created, add athletes. For each one:

  • Name and date of birth — the date is what validates eligibility in youth categories.
  • Shirt number — appears on the match sheet and in stats.
  • Position — optional, used in reports.
  • Photo — optional; without it, the initials avatar takes over.

The athlete field is an autocomplete: start typing and it searches athletes already registered in the organization. That avoids the classic problem of one “John Smith” duplicated across three teams with split stats.

If the athlete doesn’t exist yet, the selector itself offers to create one on the spot, without leaving the screen.

Tip Search ignores accents. Typing jose finds “José” — don’t waste time on diacritics.

Athletes in more than one team

An athlete can belong to several teams in the same organization — common at clubs with age-group sides. Stats are calculated per tournament, so nothing gets mixed up.

What the system does block is registering the same athlete in two teams within the same category, which would be an ineligible-player situation.

Referees

Referees also live in the organization and are registered under Referees. Registering them is optional: if you don’t use refereeing appointments, skip the section entirely.

Once registered, they’re available for per-fixture appointment and appear on the match sheet.

Teams from another organization

When registrations are open, outside teams can enter your tournament. Two rules:

  • Team from your organization — approved automatically, registered straight away.
  • Outside team — joins the queue and you approve or decline.

The outside team still belongs to its home organization. You can see the squad for match-sheet purposes, but the owning organization edits the records. That’s what lets a league host clubs that manage their own squads.

Documents

For competitions requiring proof — youth categories, federations, academies — each athlete accepts attachments: ID, birth certificate, medical clearance, guardian consent.

Files live on the athlete record and apply to every tournament, so you don’t resend them for each new competition.

Common mistakes

Entering the squad under the wrong tournament. Check the active organization in the top selector before you start.

Duplicating athletes. Always use the autocomplete search before creating a new one. If you already duplicated, remove the duplicate from the team and re-register the correct record.

Leaving date of birth blank. Without it there’s no category validation, and the irregularity only surfaces when someone complains.
