Institutional calendar and events schedule

See events, matches, bookings and classes in one calendar, publish events on your organization's public page and export the month as .ics.

The institutional calendar is the calendar of the whole organization. It doesn’t replace the tournament fixture list or the academy timetable: it pulls everything onto one screen, so you can answer “what’s on the 14th?” without opening four modules.

You find it under the Agenda Institucional menu and the Institutional calendar shortcut on the organization dashboard.

What shows up

Four sources, each with its own color:

Only events are created here. Matches, bookings and classes arrive on their own and are still edited in their own modules — clicking an item takes you straight there.

Who it is for

  • Sports departments and leagues that need to spot clashes between a meeting, a gym maintenance window and the weekend’s round.
  • Clubs and academies sharing one court between classes, bookings and matches.
  • Whoever publishes the schedule: events flagged as public feed the calendar on the organization’s public page.

Creating an event

  1. Open the calendar and click New event.
  2. Enter the title and pick the type: Competition, Meeting, Training, Public event, Maintenance or Other.
  3. Set the start and end. Tick All day for events without a set time — an event can span several days and appears on each of them.
  4. Optionally choose the calendar color and write a description.
  5. Under Links (optional), attach the event to a venue, a championship and a class group of the organization.
  6. Click Save event. The calendar reopens on the event’s month.

Title, type, start and end are required, and the end cannot be before the start.

To change an event, click it in the calendar. The same screen has the Delete event button.

Tip Attach the venue whenever there is one. The venue name shows in the list, is searchable and travels with the exported file.

Views and filters

The calendar always shows one month at a time. Use the arrows to change month and Today to jump back to the current one.

  • Month — a calendar grid. Each day shows up to three items; the rest becomes a counter (“+2”).
  • List — only the days with something scheduled, in order, with time, venue and source for each item. The better view for busy days.

Three filters work together:

  • Sources — switch Event, Match, Booking and Class on and off.
  • Event type — shows only events of that type. Matches, bookings and classes have no type, so they disappear while this filter is on.
  • Search — looks in the title and the venue name, within the open month.

Publishing to the public calendar

When creating or editing an event, tick Show on the public website calendar. It then appears at:

The public page lists the year, month by month, with date, name, type, venue and the start of the description. Besides events flagged as public, it includes the organization’s public tournaments, each on its start date. The page also exists in Portuguese and Spanish, and the organization’s public page links to it.

What does not reach the site: events without the flag, bookings, classes and individual matches. An internal meeting or a maintenance window stays in the calendar only, unless you decide to publish it.

The public page may take a few minutes to reflect a change.

Exporting to Google Calendar or Outlook

The Export .ics button downloads a file with the items of the open month. Import that file into Google Calendar, Outlook or any calendar app.

  • The export follows the sources filter: switch Class off before exporting if you only want events, matches and bookings. The type and search filters don’t affect the file.
  • Matches, bookings and classes carry a source prefix in the title (in Portuguese: “Jogo:”, “Reserva:”, “Aula:”); suspended class sessions are exported as cancelled.
  • Times are written in the Brasília time zone (America/Sao_Paulo).

It is a file, not a subscription: later changes won’t update themselves in your calendar. Export again when you need to.

Current limits

  • There is no week view — only month and list.
  • A class always shows as 1 hour long, because a class only stores its start time.
  • A match always shows as 90 minutes long, whatever the sport.
  • The .ics is a download of the month, not a link Google or Outlook can subscribe to.

Frequently asked

Can I edit a match or a booking from the calendar? No. The calendar only displays them; click the item to open its own screen and edit it there.

Why is a booking missing? Only bookings with the confirmed status are included. Requested, awaiting payment, cancelled, expired and already completed bookings are left out.

Why is a match missing? It has no date and time yet. Once the round is scheduled, the match shows up.

Does a public event have to be of the “Public event” type? No. The type is just a label; what publishes an event is the Show on the public website calendar option, which works for any type.

Can I export the whole year? Not in one go. The export is per month: move to the next month and export each one.
