Registrations and entry fees

Open online registrations, set the fee and the deadlines, and approve or decline the teams that sign up.

Online registration lets teams sign themselves up through the tournament’s public link, instead of you typing everything in.

Opening registrations

On the tournament, switch online registration on and set:

  • Registration opens — before this date the form won’t accept submissions.

  • Online registration closes — deadline for the public form.

  • In-person registration closes — a separate deadline, for entries you take outside the platform and will still enter by hand.

  • Entry fee — amount per team. Leave it blank or zero for free entry.

The two deadlines are independent on purpose: it’s common to close the online form earlier and still accept a few teams at the desk until the day before.

With registration active, the tournament’s public link shows the sign-up button. That’s the link you share.

What the entrant fills in

Whoever registers enters the team details and the squad. If the team already exists in Torneyo, they pick the existing record instead of typing everything again.

Approving and declining

Every registration comes in as registered, and you decide:

  • Approved — the team counts for the draw and fixture generation.
  • Rejected — the registration stays on record, but the team doesn’t join the competition.

One exception: a team belonging to your own organization is approved automatically. You don’t have to approve what’s already yours. Teams from other organizations always go through the queue.

Warning Approve before generating the fixtures. A team approved after generation won’t appear in fixtures already created — you’d have to regenerate the stage, which is only possible while no result has been entered.

About paying the fee

The entry fee is a reference value on the tournament: it’s shown on the form and used in reports. Tracking who paid does not happen on the registration itself.

In practice most organizers collect payment outside the platform (bank transfer, cash) and use approval as the confirmation — approving once the payment lands.

Note Recurring billing with paid/overdue tracking, late fees, interest and instant payment lives in the monthly fees module, which belongs to the academy, not to the tournament. See Academy monthly fees.

Frequently asked

Can I change the fee after opening? Yes. The displayed amount becomes the new one; sort it out with whoever already registered.

What if a team withdraws? Reject the registration or remove the team from the category. Refunds happen outside the platform — Torneyo doesn’t process entry-fee refunds.

Do I have to use online registration? No. If you already have the team list, enter them directly and skip the whole section — nothing else depends on it.
