A good tool is one the crew actually uses the same week. That’s why Torneyo has an assistant called First steps: four stages, none of them mandatory, that take your class from zero to the bot posting the invitation in the group. It exists on the web and in the app, with the same flow.
This tutorial walks through the four stages and explains what happens in each one. If you’d like to see the bot in action first, the video below shows the end result.
Before: create the class on a single screen
At app.torneyo.com, tap New class (or Create my group on the dashboard). It’s one screen: name, sport, type (class or pickup game), days of the week and time. If you don’t have an organization yet, it’s created along the way. The first class is free, with up to 25 participants, attendance and an invite link.
When you save, you land straight in the assistant. If you leave halfway, your progress is saved and the class card shows Set up in 4 steps until you finish.
Stage 1: does the crew already have a group?
The first question is simple: “Does the crew already have a WhatsApp group?”
- Yes: let’s connect Torneyo to the group (stage 2).
- Not yet: the assistant shows the class invite link and the Invite on WhatsApp button. Whoever opens the link joins the class directly. If the crew creates the group later, the I created the group, let’s connect it button brings you back here.
Stage 2: connect the group with a code
The assistant asks “Want Torneyo to join the group?” and lists what it does in there: posts the next game’s invitation, builds the list from the /vou replies, reminds whoever hasn’t answered and registers the people in the group in one tap. You can pause it or remove it whenever you want.
Once you accept, it’s three steps that take less than two minutes:
- Add Torneyo’s number to the group (the number appears on screen).
- Generate the link code, something like
PELADA-7K4Q2M. It’s valid for 30 minutes and works only once. - Send in the group
/vincular PELADA-7K4Q2M.
The bot replies in the group with the class name, and the screen moves on by itself to “Group connected!”, telling you how many hours in advance each session’s invitation will be posted.
Note No need to pick the group from a list or grant access to anything: having the code is the proof the group is yours. A group can only be linked to one class at a time.
Right after connecting, Torneyo posts a single introduction message in the group, explaining who it is, what it does and how to ask for it to be turned off. Transparency is part of the product.
Stage 3: register the people
With the group connected, the assistant reads the member list and sets aside who’s new. You see each person with the name suggested by their WhatsApp contact (editable) and a masked phone number, all ticked by default. One tap on Register N people creates everyone’s registration at once.
Cases that need a decision from you (is the number already someone’s in the organization? is it the same person as a registration without a phone?) are left for the Group members screen, where you can confirm them one by one.
Without a group, the stage offers the invite link or manual registration. And at any time, anyone who joins the group can request their own registration by sending /cadastro First Last; the request shows up under Pending registrations for you to approve, including in bulk.
Stage 4: done, with the command cheat sheet
The last screen sums up what was set up:
- group connected and the invitation lead time;
- how many people are in the class;
- the sessions created automatically on the class’s days and times.
And it hands you the group command cheat sheet, a ready-made text to copy and paste into WhatsApp:
🤖 Torneyo commands:
/vou - confirms your attendance for the next game
/naovou - lets everyone know you are not coming
/lista - shows who has confirmed and who is missing
/proxima - date, time, place and deadline of the next game
/cadastro Your Name - requests your registration in the group
/ajuda - shows this list
The final shortcuts take you to Sessions, Take attendance or Go to the class.
It’s the same in the app
The Torneyo app (Android and iOS, in final testing before hitting the stores) has the same assistant, with the same four stages, plus the screens for sessions, group members, pending registrations, cash box, rankings, rulebook, discipline and class alerts. Attendance works offline and syncs when the connection is back. For most pickup-game owners, the phone is the only computer that matters, and the flow was designed for it. Until the app reaches the stores, all of this works on the web through your phone’s browser.
What to do next
With the group connected, the weekly routine becomes: the bot posts the invitation, the crew sends /vou, you send /fechar and /sortear at game time, /placar at the end, and the barbecue cost split collects by Pix on its own. Each part of that routine has a guide:
- How to organize pickup soccer on WhatsApp without a spreadsheet
- Team draw, score and MVP right in the WhatsApp group
- Cash box, cost splits and no-show fines: the boring part of pickup soccer, solved
Or go straight to the point:
