How to create a tournament with an invite link and fill spots in hours

Phone showing tournament invite link on WhatsApp

You’re organizing a tournament. You opened 16 spots. Now you need to fill them. The traditional method? Message each captain one by one on WhatsApp. “Hey, got spots, want in?” Multiply by 16. Now imagine 16 replies at different times. This takes days — and some spots simply never fill.

The tournament invite link solves this in minutes. You generate a link, share it in the WhatsApp group or on social media, and captains click, see the tournament details, and register their teams on the spot, without exchanging a single message with you.

Torneyo generates a unique token for each tournament invite. This token becomes a URL you can share. When someone clicks it, they see the tournament details (name, date, format, registration fee) and a “Register Team” button.

The flow is simple:

  1. You create the invite in the Torneyo dashboard (2 clicks)
  2. Set parameters: expiration date, max uses, specific category (optional)
  3. Share the link on WhatsApp, Instagram, Facebook, email
  4. The captain clicks, sees tournament details, selects their team, and confirms
  5. The spot is filled automatically — you just watch the list grow

You can create multiple invites for the same tournament. One for the amateur teams WhatsApp group, another to email to your captain mailing list, another for your Instagram bio. Each with its own usage limit.

2. Why this beats manual registration

Do the math on how much time you spend on manual registration today:

TaskTime per captain16 teams
Send initial message2 min32 min
Answer questions5 min80 min
Log confirmation1 min16 min
Chase pending registration3 min48 min
Total176 min (nearly 3 hours)

With the invite link, that time drops to zero. You create the link in 30 seconds and do nothing else. The system handles showing the information, receiving registrations, and confirming spots. The 3 hours you used to spend become 3 hours to do what truly matters: organizing the tournament.

3. Real-time spot tracking

A classic problem with manual registration is overbooking. You confirm 16 teams, but 2 drop out the day before and you only find out at game time. Or worse: 18 confirm because the communication was messy, and you have to turn someone away.

With the invite link, you set a maximum number of uses. When the counter hits the limit, the link stops accepting registrations automatically. No one can register beyond the number of spots. No overbooking, no confusion, no delivering bad news.

And you can see, in real time, how many spots are filled and how many are still available.

4. Category segmentation

If your tournament has different categories (U-15, U-17, Adult), you can create one invite per category. Each link directs to a specific category, preventing a U-15 team from accidentally registering in the Adult bracket.

  • torneyo.com/invite/abc123 → U-15 (8 spots)
  • torneyo.com/invite/def456 → U-17 (8 spots)
  • torneyo.com/invite/ghi789 → Adult (16 spots)

Share each link in the right group and you’re done. Registrations land in the correct category, with zero manual errors.
