Lineups and substitutions in tournaments: the complete guide for organizers

Coach setting up team lineup on tablet during tournament

The coach hands a crumpled piece of paper to the match official. Scribbled in pen: 5 starters and 3 substitutes. The official tries to decipher the handwriting. The referee waits. The players wait. This is match lineups in most amateur tournaments.

The digital lineup in Torneyo replaces the crumpled paper with a system where the coach sets up the team on their own phone, the match official receives it automatically at the table, and substitutions are recorded during the game — all in real time.

How to set a lineup in Torneyo

The captain or coach accesses the team in Torneyo, goes to the match, and clicks “Set Lineup.” They see the full list of registered athletes on the team and can:

  • Drag 5 players to the starting lineup (or whatever number the regulations define)
  • Drag the rest to the substitutes bench
  • Designate the team captain with one click
  • Save the lineup — which becomes available to the match official and referee

Automatic validation rules:

  • Number of starters according to regulations (e.g., max 5 in futsal, 11 in soccer)
  • Suspended players can’t be selected (system blocks them)
  • Player already listed for another team in the same round is flagged
  • Minimum number of players for the match to proceed is verified

Substitutions during the match

During the match, the official records substitutions in Torneyo’s digital match report. The process is simple:

  1. Official clicks the player coming off
  2. Selects the player coming on
  3. Confirms the substitution
  4. The system records the minute, updates the match report in real time, and notifies the teams

Configurable substitution rules:

  • Maximum substitutions per team per match (e.g., unlimited in amateur futsal, 5 in soccer)
  • Rolling substitutions (player comes off and can return — common in futsal)
  • Substitution window (e.g., until the 40th minute of the second half)
  • Injury substitution (doesn’t count toward the limit)

Benefits of digital lineups

  • Zero paper — no illegible handwriting, no lost sheets
  • Complete history — every player has a record of matches played, minutes on court, goals, and cards
  • Automatic suspension — the system alerts when a player hits the card limit
  • Automatic match report — the lineup feeds directly into the digital match report, saving the official’s time
